THE OPPORTUNITY
The Business Administration / Operations Executive will be the engine room of our internal operations. Working with, and within the capacity of, the Administrative Manager, the successful candidate will drive day-to-day business operations, run the administrative function, and provide hands-on workforce management support across our service lines. This role suits a structured, proactive professional who takes ownership, brings order to busy environments, and enjoys making systems, people and processes work together efficiently.
KEY RESPONSIBILITIES
- Business Operations
- Coordinate our day-to-day operations across consulting, facility management, property management and advisory engagements, ensuring work is delivered on time and to standard.
- Track active client mandates, property and facility portfolios, schedules and deliverables, flagging risks and bottlenecks early.
- Develop, document and maintain Standard Operating Procedures (SOPs), workflows and checklists for recurring operational activities.
- Liaise with clients, tenants, landlords, contractors, vendors and service providers to resolve operational issues and maintain strong working relationships.
- Monitor operational KPIs and prepare weekly and monthly performance reports for management.
- Administration & Office Management
- Oversee general office administration, including correspondence, scheduling, meeting coordination, minutes and follow-up on action points.
- Maintain an organised filing and records management system (physical and digital) for contracts, tenancy documents, client files, statutory documents and correspondence.
- Manage procurement of office supplies and services, vendor records, and the upkeep of office assets and facilities.
- Support budgeting, petty cash management, expense tracking, invoicing follow-up and basic financial documentation in coordination with the Accounts function.
- Prepare business letters, memos, proposals, reports and presentations to a professional standard.
- Track statutory, regulatory and contractual deadlines, including permits, renewals, insurance and service contracts.
- Workforce Management Support
- Support recruitment and onboarding activities, including coordinating interviews, preparing onboarding documentation and maintaining employee records.
- Administer staff attendance, leave, scheduling and rota management, including for site-based and facility staff.
- Assist with payroll inputs, staff welfare matters and the implementation of HR policies and the employee handbook.
- Support performance management processes, training coordination and internal staff communication.
- Serve as a first point of contact for routine staff enquiries and escalate employee relations issues appropriately.
- Management Support & Continuous Improvement
- Deputise for the Administrative Manager on operational and administrative matters as required.
- Identify opportunities to digitise and streamline processes using productivity tools, shared drives and business software.
- Support special projects, client onboarding and new business initiatives as assigned by management.
CANDIDATE PROFILE
- Education: Minimum of HND or B.Sc. in Business Administration, Estate Management, Facility Management, Public Administration, Management or a related field. An MBA is an advantage, as is professional certification (e.g. CIPM, NIM, or a recognised management credential).
- Experience: Minimum of 7 years’ experience in business administration, office management or operations. Experience in the real estate sector (including facility or property management) is a strong advantage.
- Workforce Exposure: Practical experience supporting HR or workforce functions such as attendance, leave, onboarding and staff records.
- Technical Proficiency: Strong command of Microsoft Office / Google Workspace (Excel in particular), with working knowledge of digital filing, reporting dashboards and HR or attendance tools.
- Core Competencies: Excellent organisation, planning and multitasking; strong attention to detail; sound judgement; and the ability to work independently with minimal supervision.
- Soft Skills: Clear written and verbal communication, professional presence with clients and staff, discretion with confidential information, integrity and accountability.
